Booking industrial machinery transport in India starts with a clear description of the equipment and the two sites. A machine that fits on a vehicle may still need special preparation, lifting arrangements or access planning. Before asking for a quotation, use this checklist to define the work and make competing offers easier to compare.
1. Prepare an equipment list
List each machine, its make or model where known, and the number of units. Include accessories, control panels, spare parts and other items travelling separately. Explain whether the machine will move assembled or in sections. Photographs from several angles can help the transport team understand the enquiry, but they do not replace measurements.
2. Confirm packed dimensions and weight
Provide the length, width, height and weight of each transport-ready unit, including its packing, base or supports. State the units clearly and identify any estimated figures. If weight or dimensions are unknown, ask the equipment supplier or your engineering team to confirm them before a vehicle is finalised.
Tell the coordinator about protruding parts or unusual weight distribution. Share available manufacturer handling instructions with the people responsible for lifting and securing the machine. Vehicle selection should follow the confirmed load details, rather than an assumption that any truck or trailer will be suitable.
3. Check access at both premises
Provide the pickup and delivery addresses, including PIN codes, and explain how a vehicle reaches the loading point. Mention gate restrictions, narrow approaches, limited turning space, overhead obstructions, factory entry procedures and permitted working hours.

4. Agree who prepares, loads and unloads the machinery
Record who is responsible for disconnection, dismantling, packing, lifting, loading, unloading and reassembly. These are separate tasks and should not be assumed to be included in a road freight price.
Have your qualified equipment and handling teams assess the preparation and lifting requirements. Confirm that the necessary people and equipment will be available at each end. 5. Identify oversized-load questions early
If the machinery may be oversized or unusually heavy, raise this at the enquiry stage. Share confirmed measurements, drawings where available, photographs and the proposed endpoints. Ask the transport team what further assessment is needed before it can confirm a vehicle, route and schedule.
Do not treat a preliminary price as confirmation that the movement has been fully assessed. ODC transportation enquiries need a load-specific discussion rather than a standard truck booking.
6. Compare the complete quotation scope
Ask for a written explanation of what the price includes. Check the agreed vehicle arrangement, exact collection and delivery points, packing and handling responsibilities, waiting charges, taxes and any separately quoted work. Clarify insurance arrangements and the documents required for the particular shipment before booking.
Give the date the machine will actually be ready, the receiving site's working hours and any shutdown or installation deadlines. Ask how delays, changes to cargo details and rescheduling will be handled. Transport timing should be confirmed for the specific route and assignment.
