An ODC transport enquiry needs more than a cargo name and two cities. For over-dimensional cargo, the transport team needs to understand the load as it will travel, the proposed endpoints and the work included in the request. A clear brief helps the team identify missing information before discussing a vehicle arrangement or price.
This guide explains what to send when requesting ODC transportation in India. It is an enquiry checklist, not a route approval or an equipment handling plan.
Start with the transport-ready dimensions
Provide the length, width and height of every separate unit, with measurement units clearly stated. Include packing, skids, supports and any protruding parts. Explain whether any part can be removed by your equipment team before transport, and supply the dimensions for the actual configuration you want quoted.
For example, a bare machine measurement and its packed measurement describe different loads. Label them separately instead of giving one unexplained figure. Mark estimates as estimates and identify who will confirm them. An initial quotation based on provisional measurements may need revision when the final details are available.
Give the weight of each unit
State the weight of each transport-ready unit, rather than only the combined shipment weight. Identify the source of the figure, such as an equipment drawing or supplier specification, and say if packing or supports have been excluded.
Share available drawings showing the centre of gravity, lifting points and support requirements with the qualified teams assessing the movement. Do not guess these details or use photographs as a substitute for technical information. If they are unavailable, flag that early so the team can explain what further information is required.
Show the cargo and both access points
Useful photographs include the complete load from several angles, its base and any projecting parts. Add photographs of the loading area, entrance gate and approach road where you can provide them. Include equivalent information for the receiving site.
Give complete addresses and PIN codes, a map location where available, site contact details and entry hours. Mention known restrictions such as narrow gates, limited turning space or overhead obstructions. These details support an initial assessment; they do not replace any site or route checks needed for the particular load.
Separate road transport from handling work
Specify who will prepare, pack, load and unload the cargo. Identify who is responsible for arranging lifting equipment, suitable supports and cargo securing. Ask which of these activities are included in the proposed transport scope and which require a separate arrangement.

Ask what remains to be assessed
Request an explanation of the proposed vehicle arrangement and any outstanding load, site or route checks. Ask the coordinator to identify any applicable permissions, escort arrangements or other movement requirements, who will arrange them, and whether their costs are included or still provisional.
There is no single quotation scope that fits every oversized load. Do not assume that a preliminary price or a requested delivery date means the route and movement arrangements have already been confirmed. Ask for the conditions attached to the offer in writing.
Provide a realistic readiness window
State when the cargo will be packed and ready for collection, when the receiving site can accept it, and whether either date is flexible. Explain any installation sequence or project deadline. Ask how waiting time, changes in measurements and postponed loading will affect the quotation and schedule.
